Automatically collect invoices from Gmail

On the roadmap

A practical Gmail workflow for collecting original invoice attachments, separating messages from documents, and avoiding duplicate portal downloads.

Turn Gmail invoice attachments into a reviewable monthly set. Gmail is a delivery channel, not the invoice issuer. Save the original attachment and preserve enough message context to identify the sender, while treating the email body as supporting evidence rather than the accounting document.

Automated invoice collection from Gmail

The planned flow brings relevant mailbox attachments into the same review list as portal documents. Connection details will be confirmed before release.

How it works

  1. Choose the mailbox and period. Search by business period and sender, then confirm that the attachment is an invoice rather than an order or payment notification.
  2. Check the detected attachments. Save the original attachment without printing the email to PDF when a proper document is already included.
  3. Prepare the handoff. Compare attachments with portal downloads before filing so the same invoice does not enter the month twice.

Frequently asked questions

How does BillGetter protect my Gmail data?

BillGetter is being developed as a local and a cloud version. The permissions and data path of the Gmail connection will be shown before you connect an account; the integration is currently on the roadmap.

Can I collect older Gmail documents?

The available history depends on the later Gmail connection and the documents retained in the account. BillGetter will document that scope before the integration is released.

Does BillGetter also collect invoices from email?

Mailbox collection is part of the planned BillGetter workflow. Email attachments and portal documents are intended to appear in the same review list, with the exact early-access scope confirmed before release.

Which Gmail documents belong in the monthly set?

For Gmail, start with: Original PDF attachment, Attached credit note, Message context for identification. Keep corrections and credits with the same period so the set remains complete and understandable.

Are Gmail documents always saved as PDFs?

BillGetter is intended to retain the original format supplied by Gmail; not every document type is necessarily a PDF. Before export, use this rule: Use sender, invoice date, and invoice number for the stored file; retain the email only when it adds delivery or correction context.
